Choose email software for the messages you will send
Count your audience and sends, then check the provider's rules for your actual content. A feature list alone does not establish that the plan or policy fits.

Compare first-year costs before switching email tools
First confirm that both plans support your audience, sends and required workflows. Then enter actual monthly-billed quotes in the same currency. Annual monthly equivalents do not belong here. Include required add-ons in each monthly quote and any non-recoverable setup, migration or cancellation charge in the one-time amount.
Fictional starting example: keeping a service at 25 per month costs 300 over twelve months. Switching to 17 per month, paying 60 once and keeping the old service for one overlapping month costs 289: 204 + 60 + 25. The switch costs 11 less. With two overlapping months it costs 314, so keeping the current service costs 14 less. These are currency units, not vendor quotes or revenue forecasts.
The alternative runs for all twelve months; overlap adds current-service payments within that period. The one-time amount is paid once. This estimate excludes taxes, future price changes, refunds and costs you have not entered. It does not calculate annual prepayments or assess a migration’s reliability.
Check the switch before starting a paid plan
- Keep a record of consent, unsubscribed contacts, required sequences and integrations. Confirm that the destination supports them.
- Check the exact contact and send allowance, billing date, add-ons and recurring charge. A trial or free plan may have different limits.
- Test the required journey with an inbox you control, then decide when the old service can end. Keep unresolved overlap costs in the comparison.

Work through one month's sending requirement
Fictional planning example: a list that reaches 800 subscribers receives four newsletters. Another 100 new subscribers, already included in that 800, each receive three welcome messages. The estimate is 800 × 4 + 100 × 3 = 3,500 sends. Other automations, resends and transactional messages are separate.
Record both requirements: capacity for 800 subscribers and at least the planned sends. Do not infer one limit from the other. If you add a fifth newsletter, the estimate becomes 4,300 sends. Recheck the exact tier and its full charge with those changed inputs.
Before buying, draft the signup promise and welcome message, check the rules against that content, and use an inbox you control for your own delivery test. A paid plan does not guarantee inbox placement.
Free plan or trial? Confirm which one the signup offers, whether payment details are required, when billing starts and the full recurring charge. Check contacts, sends, features and content restrictions separately. Use the policy discussion and dated comparisons below alongside the signup terms.
